Operations & Logistics Coordinator 

Location: Office & warehouse-based 

Working Hours: Monday to Friday, 10:00 AM – 6:00 PM 

Salary: £37,000 – £42,000 (Depending on experience)

Role Overview 

We're looking for an organised, detail-focused candidate to take ownership of all things related to operations and logistics within Amber Sound. As an office based roll, you will be responsible for managing stock control, supplier purchasing, shipping administration, and imports requiring customs clearance. You will also need to book freight collections and manage the courier account including rate negotiations. It would be advantageous if you have an understanding of, or strong interest in, professional audio to help you get to grips with our product range quickly. 

Whilst this is the primary focus of the role, Amber Sound is a small team and you will be required to help out in other departments when required. This will include answering the phone in a confident and professional manner and supporting the sales team with internal admin when they’re busy. 

It’s important you’re an effective communicator and liaise well with the rest of the team to make sure they have information they need related to stock, including lead times and delays. 

You will also need to help out in the warehouse with shipping and receiving orders, including packing orders and checking in deliveries when required. 

Key Responsibilities 

  • Logistics, Purchasing & Operations Admin — the long-term focus of this role 
  • Stock & Purchasing: Manage supplier Purchase Orders, stock levels, and inventory accuracy within our operational system. 

  • Imports/Exports & Customs: Coordinate overseas imports and exports, including customs clearance and shipping documentation. 

  • Dispatch Coordination: Book outbound shipments with couriers and manage dispatch schedules to keep deliveries on time. 

  • Sales & Operations Admin: Support pricing updates and stock reconciliation, and resolve operational or shipping administration issues. 

Customer & Sales Support 

  • Phone Cover: Handle incoming telephone calls professionally, answering customer queries or taking detailed messages when sales colleagues are unavailable. 

  • Team Support: Assist the sales team with trade show preparation and other reasonable operational duties. 

Warehouse Support  

  • Order Packing: Pack customer orders safely and accurately ready for dispatch. 

  • Goods Inward: Unpack and verify incoming deliveries, booking stock into the system. 

Essential Skills 

  • Communication & Phone Manner: Good telephone manner and strong verbal communication skills to interact comfortably with colleagues, customers and suppliers. 

  • Organisation & Precision: Systematic, accurate record-keeper with meticulous attention to detail and confidence working with numeric data and administrative processes. 

  • Work Ethic & Mindset: Highly self-motivated and practical, with logical thinking, common sense, and a positive “can-do” attitude — equally comfortable managing admin at a desk as working hands-on in the warehouse when required. 

  • Digital Literacy: Computer-literate and able to adapt quickly to operational and ERP-style software (full training provided). 

  • Teamwork & Punctuality: Excellent timekeeper, dependable, and eager to support colleagues across all business departments. 

Desirable Skills 

  • Industry Experience: Direct prior experience working within the professional audio or live events supply industry. 

  • Logistics/Ops Experience: Experience in logistics coordination, purchasing, stock control, or operations administration. 

  • Systems Experience: Experience working with Business Central 365 or similar ERP systems.
